The Head of Design and User Experience is seeking a highly motivated and talented Executive Assistant to join our team. You will support a small but seasoned creative team responsible for defining and driving design innovation for Nokia's future products. You wear many hats, are detailed oriented, have an appreciation for the design culture and creative environments.

Main Responsibility Areas
May need to perform any of the following: Providing support to individual executive, management team members and periodic office management tasks. Primary responsibilities include extensive travel arrangements, expense reports, calendar management, and design event scheduling and planning. Other responsibilities include: team communication tasks, managing office/studio needs, arranging business critical internal/external events, administrative tasks of moderate complexity requiring some discretion and independent judgment, carrying out tasks/activities according to assignment and set guidelines, making decisions affecting own work within set parameters, elevating others and reviewing tasks and project priorities with supervisor. In addition, the Executive Assistant may be responsible for researching and compiling special reports, presentations, organization charts, etc.

Key Tasks
· Executive travel arrangements, expenses claims and calendar management
· Scheduling and arranging team design meetings, stakeholder reviews and studio conference rooms
· Gives office & tools related support (movements, access cards, badges, extra office supplies, mobile phones, Secure ID cards, and miscellaneous support for plotters, printers )
· Administrates communication in a team/department: team rooms (ordering, categories, content, updating, access rights, filing) and other team/department related communication e.g. intranet pages.
· Shares info on mutual matters e.g. Nokia policies, practices & announcements and takes care of guidance's, e.g. holiday lists
· Arranges induction for new employees and other assistants including also a support to manager in giving induction for new team/department member/s.
· Arranges different kinds of internal and external events Updates Organization charts (knows the organization and its strategy)
· Managing and maintaining design studio cleaning routine and catering needs
· Meeting minutes and documenting design pin up reviews
· Develops and improves administrative related tasks e.g. pilots applications, processes and tools which are needed in own work.


Proficiencies with excel, word and PowerPoint (MS office); email - Outlook 2003-2007. Understanding of Adobe programs such as Illustrator, In Design and Photoshop a plus. Highly skilled in multiple technical/admin areas across multiple functions/products.
Vocation training/qualifications required.
Experience in a similair role based on performance is ideal.
